Reporting to the Supervisor, Medical Staff Services and Credentialing, the Medial Staff Services Assistant provides administrative support by preparing reports, handling information requests, and performing functions such as preparing correspondence, receiving visitors, arranging conference calls, updating databases, and scheduling meetings. Performs the annual dues assessment and collection. Manages ‘expirables’ such as DEA, license, professional liability insurance, specialty board certification status by maintaining and updating credentials files and the practitioner database. Prepares reports, memos, letters, and other documents, using Microsoft Word, Excel, and PowerPoint. Reads and analyzes incoming correspondence, memos, e-mails, submissions, and reports to determine their significance and responds or distributes accordingly. Logs, files and retrieves department documents, records, and reports. Maintains credentialing information databases as requested by the Credentialing/Medical Staff Specialists with approval of the Director. Assists Medical Staff Specialists/Manager/Director with appointments and reappointments. Greets visitors and directs them to the appropriate individuals. Answers telephones. Maintains office supplies. Coordinates and arranges Medical Staff meetings including catering. Takes notes at internal departmental meetings and follows up on action items appropriately. Coordinates with other hospital departments such as Maintenance, Housekeeping, Information Technology, etc. for office needs. Performs other duties as assigned.

Education and Experience

High School Diploma or equivalent required

Computer literate and proficient with Microsoft Office Products (Word, Excel, PowerPoint) required

Ability to adapt to changing schedules, deadlines, demands, and a heavy workload required

Ability to successfully coordinate multiple tasks simultaneously required

Strong written, oral, and presentation communication skills and ability to work effectively with others required

Ability to work independently with confidentiality required

Experience with MD-Staff software and healthcare database systems preferred

Strong organizational, analytical and problem-solving skills preferred

Proficient in medical terminology preferred
